4. Confidentiality and Coaching Practice

Your information will not be shared with third parties without your knowledge and consent, except where there is a legal obligation to do so, including where there is a serious concern regarding risk of harm to yourself or others, safeguarding concerns, or where disclosure is required by law.

Coaching notes are kept for professional, ethical, insurance, and accreditation purposes and are stored securely.

In accordance with professional coaching standards, anonymised information may occasionally be used for supervision, professional development, or accreditation. No information that could identify you personally will be shared.

 

Coaching may take place outdoors, in person, by telephone, or via secure online platforms such as Zoom, Microsoft Teams, or similar services. These providers have their own privacy and security measures.

 

5. Legal Basis for Processing

Under UK GDPR, personal data is processed under the following lawful bases:

  • Legitimate interest – responding to enquiries and operating the business 

  • Contract – providing agreed coaching services 

  • Legal obligation – retaining records where required

This website is hosted on the Wix.com platform, which stores data on secure servers behind a firewall.

Personal data may also be stored securely using trusted service providers such as email, document storage, scheduling, or video conferencing platforms (for example Microsoft 365, Google Workspace, or WhatsApp) and, where applicable, secure cloud-based services used for professional record-keeping.

These providers may process data within the UK, the European Economic Area (EEA), or other jurisdictions with appropriate safeguards.

Reasonable steps are taken to ensure all providers handle personal data securely and lawfully.

 

7. Data Retention

Personal information relating to enquiries will be retained for up to 12 months.

​

Client records and coaching agreements, and related professional records may be retained securely for up to 7 years following the end of coaching services, in line with professional practice standards and insurance requirements.

Information retained for accreditation or audit purposes (for example, ICF credentialing) will be limited to what is necessary and kept only for as long as required.

 

8. Your Rights

Under UK GDPR , you have the right to:

  • Request access to your personal data

  • Request correction of inaccurate information

  • Request deletion of your data (where appropriate)

  • Restrict or object to processing

  • Withdraw your consent at any time
